The Management Committee will meet on the first Monday of alternate months at the Community Centre. The agenda for the meeting is normally distributed one to two weeks ahead of the meeting date to give members time to prepare.
A Special Meeting can be called at any time by the Chairperson or any two committee members provided they give at least 7 days’ notice to all other committee members.
The DCA’s financial year ends at the end of April each year and the Annual General Meeting is held in September to give the Treasurer time to collate outstanding transactions, complete the accounts for the previous year and have these independently examined by the Accountants. At least 14 days public notice must be given of the date of the AGM.
Any member of the community can attend and, if invited, speak at the AGM. Members of the Association, whose membership fees are fully paid, may also vote on agenda items where a public vote is approved by the Committee.
A Special General Meeting can be called at any time by agreement of the Committee provided at least 14 days public notice is given.
Following each meeting the Secretary prepares the minutes of the meeting and these are circulated to committee members in advance of the next meeting where the minutes are formally approved by the Committee and signed by the Chairperson.
